From within FrontDesk Manager you have the ability to manage and configure functions related to the CheckPoint Station (the automated check-in / check-out system). CheckPoint Manager allows you to:
load your logo onto the CheckPoint Station Welcome Screen
create a global greeting message to all CheckPoint users
send personal messages to guardians and employees
reset PINS for guardians and employees
create an ADP Payroll or comma delimited file
view current classroom ratios
view attendance summaries for a selected date range
review graphical analysis of attendance trends
Set door control parameters for electronic door latches
To access CheckPoint Manager, select the CheckPoint icon on the top tool bar. Alternatively, you can click on CheckPoint from the main menu, then select Manage CheckPoint from the dropdown menu.
The following window will be displayed:
There are six tabs along the bottom of the CheckPoint Manager window that perform different functions related to support of teh CheckPoint Station system. Each tab is discussed below;
The Global Greeting Tab allows you to define:
define your greeting that is displayed on CheckPoint Station to all guardians and employees
load the logo to be displayed on CheckPoint Station
This main Greeting panel is divided into two halves. The left side displays a global message in large letters and the right side displays a graphic image which usually represents your businesses service mark or company logo.
To type in your global greeting, simply type in the words you want displayed on CheckPoint Station. SchoolLeader automatically displays this message along the top of the greeting:
'Welcome. Today is...
Tuesday, March 26th' (today's date)
To LOAD your logo:
Click on LOAD.
Tell SchoolLeader where to find your logo. Point to the correct drive or folder. Ensure that the 'Files of Type' in the bottom of the selection box is set to BMP, PCX or JPG.
Select the file, then click OPEN.
Your logo will be displayed.
Click on the 'X' to close the window. Your logo is automatically saved.
If you want to remove your logo, click on the CLEAR button. No logo will be displayed until another is successfully loaded.
This is described in more detail in the chapter Loading Your CheckPoint Logo.
The Messages Tab is where you can manage the personal messages for each guardian & employee who is using CheckPoint Station.
Messages can be sent to:
the next guardian signing a specific student in or out
a specific guardian
a specific employee
To post a SINGLE MESSAGE, first select where you want the message sent by choosing one of the three radio buttons on the left, then simply enter the message and press the POST MESSAGE button in the lower right corner of the window.
You can either type your message into the main text box or you can select one of the two predefined messages using one of the buttons along the bottom of the window (i.e. "See FrontDesk" or "See Director"). These special message buttons will populate the message box with a predefined message. You can still edit this message after it is displayed.
To post a BROADCAST MESSAGE intended for more than one guardian or employee, click on the POST A BROADCAST MESSAGE button. This will display another window where you can select a group of individuals and a message.
Sometimes you might find it necessary to eliminate all messages currently posted to CheckPoint to ensure there are no "outdated" messages still waiting for a guardian who picks up very infrequently. This button will erase all messages for users defined in your selection type box in the upper right corner.
The Current Ratios Tab provides a quick view of your current Student / Teacher ratios in each classroom. This is 'real-time' data, so as students and employees are checking in and out, your classroom ratios will be changing. You can use this information to verify attendance and ratios for all your classrooms. The first column in the grid will display a "traffic light" indicating the status of each classroom.
GREEN Light - Less than 80% of maximum
ratio
YELLOW Light - More than 80% but less
than 100% of maximum ratio
RED Light - More than 100% of maximum
ratio
The Attendance Summary Tab provides a summary view of all attended hours for the selected date range. There are two side-tabs that allow you to perform this function on either Students or Employees. You define the period range to summarize by setting the "from" and "to" dates in the header area of the window, and then clicking on FETCH. Summary rows for each person are displayed in the grid and totals for the entire school are displayed at the bottom.
When on the Employee side-tab, you also have the option of creating a Time Reporting Extract File for ADP processing, or as a comma delimited file, for the date range selected. This extract file can make interfacing with a third-party payroll system simple and easy.
The attendance extract must be created from the server, and the extract file will be saved to the hard drive in the SchoolLeader Folder, within the Extracts Folder. The typical location of this folder is C:\Program Files\SchoolLeader\Extracts.
The Trend Analysis Tab provides you with the ability to chart your CheckPoint data for analysis purposes. You can produce three different graphs for viewing. The graphs are also available for printing.
CheckPoint Station has the optional ability to control a secondary electronic door latch. It can also interact with SchoolLeaders optional SafePASS Perimeter Security system and use biometric finger prints to identify users.
This box contains a collection of fields that can be used to configure (and directly control) the communications between CheckPoint and an electronic door controller. Although all these options can seem intimidating, the truth is, most of them will be left unchanged from their default values. These parameters allow you to configure a serial port to communicate with an electronic door controller that can receive commands via an RS-232 connection. Once communication is established, you can use the CONTROLLER COMMAND box at the bottom to send the appropriate string of characters to instruct the controller how to open the door. The SEND CMD button can be used to conveniently test your settings.
Once setup, this command will automaticaly be sent to the door controller whenever an employee signs in or out and presses the DONE button on CheckPoint Station. There is also an optional OPEN DOOR button on CheckPoint that will also send the command.
This box contains parameters for fine tuning how SafePASS operates to allow perimeter access. SafePASS is technically a separate product from CheckPoint and has it's own control window, however, since they both control access, the settings are added here for user convenience. See the SafePASS chapter for more details on these options.
