The Late Payment Process allows you to post late payment charges to Primary Guardians' accounts that have an outstanding balance. To use this process, you need to have already setup your Late Payment Rules
To post Late Payment Charges:
Click on ACCOUNTING from the main menu, then ACCOUNTS RECEIVABLE, then POST LATE PAYMENT FEES
You will be prompted with a confirmation message, as well as a prompt asking if you'd like to send a CheckPoint Station message to all the Primary Guardians who receive a Late Fee. If you choose "YES" then these Primary Guardians will see a simple message in their Message Box the next time they Check-in. This message will alert them to the fact that a Late Fee has been posted to their account and then invites them to "see the FrontDesk for more information".
Once the process is initiated it will begin a search for outstanding balances in any Primary Guardian Payment Accounts. If the late payment process finds a balance that exceeds the threshold limit you set in the Late Payment Fee Rules, a message box be displayed that indicates the circumstances of what it found.
The message box gives you a choice of four buttons. The effects from these buttons are as follows:
YES - Post the late payment fee to this Primary Guardians Payment account and continue searching for the next account. If one is found, prompt again with this window.
YES to ALL - Post the late payment fee to this Primary Guardians Payment account and continue searching for the next account. Post all remaining Late payment fees WITHOUT prompting.
NO - Do not post the late payment fee to this Primary Guardians Payment account but continue searching for the next account. If one is found, prompt again with this window.
NO to ALL - Do not post the late payment fee to this Primary Guardians Payment account and abort the process so no other accounts are searched.
Although you will probably run this process once during the accounting period, it is important to realize that you can run it as many times as you need. For example, if you charge a daily late fee, then you can run the Late Payment Process every day. Those Primary Guardians with an outstanding balance (based on your rules) will have a late payment fee applied to their accounts.
