The One-Time Group Charge process allows you to post the same charge to a selected group of students, either by classroom or by selecting their names from a list. This is not a recurring charge, but it is a charge that needs to be applied.
Examples of when you would use the One-Time Group Charges process include:
charging school aged students with a special registration fee for summer camp
charging a classroom supply fee to the 4 year old class
charging your entire school a registration fee at a certain time of the year, etc.
To access the One-Time Group Charges process:
Click on Accounting
Click on Accounts Receivable
Click on Post Fees
Click on One-Time Group Charges
To post a One-Time Group:
select your TARGET GROUP. If you select Primary Guardians then the list of Primary Guardians is displayed. If you select Active Students, then you have the option to also select a specific classroom. SchoolLeader will highlight all students' names in that classroom. You can then further select or unselect student names by clicking the actual names.
you can SELECT ALL for either Target Group by clicking on the SELECT ALL button. You can CLEAR ALL for either Target Group by clicking on the CLEAR ALL button.
Enter your Posting Description. The Posting Description can be selected from the list of recurring fees/discounts found in your Recurring Fee Schedule (click on the down arrow next to Posting Description). Or, you can type in your Posting Description.
Select the appropriate subaccount by clicking on the down arrow next to A/R Subaccount.
Select CHARGE, CREDIT or BAL XFER (for third party transfers).
Enter your amount
Enter the Activity Date. The date selected must be within the date range of the current accounting period.
Enter any optional comments.
Click on POST TRANSACTION, and your charges will be posted to each Primary Guardian's Payment Account.
There are additional data fields that are used for auditing purposes and cannot be changed:
Displays the first transaction number that will begin the series of multiple transactions. These numbers are automatically assigned and incremented by the system.
The Posting Date indicates when the transaction was originally applied to the subledger. This value is automatically assigned based on the computer's system date.
Shows the Userid of the person who originally posted the transaction.
