The first DB-Support function you should perform is to set up your system User IDs (User Identifications). With SchoolLeader, you can set up an unlimited amount of users, and allow or deny these users from performing certain tasks. For example, the center owner will have authority to perform all SchoolLeader functions, but the front desk personnel may be denied access to certain sensitive information such as accounting or employee wages.
The User ID Maintenance Window allows you to manage all of the User IDs in your system. To add, modify or delete User IDs, click on the USER ID MAINTENANCE button from the main DB-Support window.
The following window will then be displayed for managing your User IDs. This window has three tabs: the General tab, the Permissions tab, and the School Access tab.
The GENERAL tab is where you can add, modify or delete User IDs. You can also "clear" or reset the existing user's passwords from this tab.
First, click the 'ADD' button to add the first User ID. Begin filling in the information for User ID, Last Name, First Name, and Middle Initial.
Then click on 'SAVE'.
Enter the log on User ID assigned to an individual. It can be any combination of letters and numbers up to a total of 25 characters.
When a new User ID is established, SchoolLeader assigns the first 8 characters of the User ID as the password. When logging into SchoolLeader FrontDesk for the first time, the user needs to enter the first 8 characters of their User ID as their password, and then they should immediately change their password.
Enter the Last Name of the owner of this User ID
Enter the First Name of the owner of this User ID
Now click on SAVE Button located in the top section of the Window.
Press this button to clear the password for this User ID. Once cleared, you can log on with the same User ID, however the password has been reset to be the User ID as well. In other words, if the User ID was "Mary" then the password would be "Mary" as well after it is cleared.
The owner of the User ID should change the Password to something less obvious the next time they log on to SchoolLeader FrontDesk.
After saving the information on the General Tab, click on the Permissions Tab. The PERMISSIONS tab is where you will specify what "rights" this User ID has for accessing the various functions in SchoolLeader.
You can assign individual access rights to specific SchoolLeader functions. Each function can have one of five different permission levels. The different permission levels are:
None
Read
Add
Update
Delete
By clicking on the 'down' arrow next to each function, you can select the permission level that is appropriate for each User ID. The Permission Levels are cumulative as you move down the list. For example, a User ID that has 'Update' authority for Students can Read, Add, and Update Student information, however, this User ID cannot Delete Student Information.
You can also assign individual access rights to groups of SchoolLeader Reports. The different Report Permission Levels are:
Yes (User ID can
view the reports)
No (User
ID cannot view the reports)
You can mix and match the Functions and Permission levels anyway you find necessary for each individual User ID. This gives you maximum flexibility for setting up your Security Model within SchoolLeader.
After setting your permission levels for this User ID, click on the SAVE button.
Data Entry
None
No permissions granted. User cannot even open a window or view any data
associated with the function
Read
User can open windows and view data but cannot make ANY changes or additions
to data associated with the function
Add
User can add new data but cannot
modify or delete any data associated with the function
Update
User can Read, Add, and Update data but cannot
delete any data associated with the function.
Delete
User can Read, Add, Update, and Delete data associated with the function.
DELETE
is the ultimate power that a User ID can have for a particular function.
Reports
Yes
User produce reports that fall into this category. This includes producing
detail and analysis reports in the Central Report Manager as well as reports
produced directly from within various data entry windows.
No
User cannot produce any reports in this category.
Access to DB-Support functions should be limited to those who need System Administration authority. There is no need for the general users of SchoolLeader to have access to DB-Support. To prevent unauthorized access to these functions, set the SYSADMIN permissions to None in the Permissions Tab for those users who do not need access. Doing so will prevent unauthorized individuals from logging on and gaining access to this area.
